You’ll be the day-to-day owner of print and direct-mail projects, translating client needs into manufacturable specs, building accurate quotes, and shepherding each job from kickoff to delivery. You won’t push pixels or parse database files—but you will make sure the people who do have everything they need.

Our sister company Pixa Creative is a world class marketing agency that finds the business and designs the work, then they will hand it off to you for the execution.

 

What you’ll do (the work)

  • Own estimating & quoting in our MIS (Printers Plan): define specs, select stocks/finishes, calculate press/bindery/kitting, factor make-readies/waste, and produce clean, timely quotes.
  • Turn concepts into manufacturable specs: formats, folds, bleeds, imposition notes, coatings, PMS vs. process, tabbing/wafer seals, window placements, envelopes, inserting, and kitting.
  • Assist in managing schedules: build timelines from proof to press to mail entry/ship; communicate changes early and often; keep OTIF on track.
  • Coordinate—not execute—postal processing: gather nonprofit status, entry preferences, sample addressing, indicia/artwork, and in-home targets; hand off clean packets to the Postal Specialist; confirm approvals and entry plans.
  • Coordinate—not execute—VDP: gather list requirements, version rules, data dictionaries, sample keys, and proof logic; hand off clean packets to the VDP Specialist; QA test proofs and live samples.
  • Track proofs & quality: route content/color proofs, track markups, verify corrections; spot-check registration, color, finishing, counts, and packing.
  • Vendor wrangling (as needed): secure outside quotes, confirm SLAs and capacities, QC inbound components, and keep costs/schedules aligned.
  • Job close & learning: reconcile actuals vs. estimates, log rework drivers, call out postal or data wins, and propose process tweaks that make us faster and better.

 

What great looks like (skills & experience)

  • 5+ years in print production, direct mail, or account/project management in a print/mail environment.
  • Demonstrated accuracy in estimating & quoting across digital/offset, and large format. Knowledge of promotional products a plus.
  • Working knowledge of USPS classes/formats (First-Class, Marketing Mail, Nonprofit), tabbing, thickness/weight, and how postal choices impact format, speed, and cost.
  • Practical fluency in VDP basics (you understand variables, versions, keys, and failure modes) even if you’re not the person doing merges/mapping.
  • Confident with specs, proofs, press/bindery/inserting/kitting , and reading/marking color and content proofs.
  • Calm, clear communicator with strong organization, follow-through, and attention to detail in a fast-moving production setting.

 

Tools & tech you’ll touch

  • Printers Plan (MIS) for estimating/quoting and job tracking.
  • Microsoft 365 (Teams, SharePoint, Excel) and project trackers.
  • Nice-to-have: experience with web-to-print portals, and basic CSV/List hygiene.

  • A proactive problem-solver who spots risks early and offers options.
  • Comfortable working in the gray with little direction
  • Deadline-reliable and detail-obsessed—without losing your sense of humor.
  • Great with clients and production—translating between “marketing” and “manufacturing.”
  • Collaborative, curious, and kind. No jerks.

 

Working conditions / hours

Full-time (generally 8:00–5:00). Occasional flex for emergencies or hot deadlines. We value great work and real downtime. We are a hybrid environment. This role is flexible enough to work remotely three days per week and in the office two days per week.
