Position Overview:

As an Executive Admin, you will handle phone calls, manage incoming packages, organize office supplies, and maintain cleanliness in common areas. Additionally, you will assist with event planning, track inventory, prepare meeting spaces, and contribute to the company’s social media presence.

Job Responsibilities:

  • Answer phone calls professionally and direct inquiries to the appropriate team members.
  • Receive, sort, and distribute incoming packages to the correct locations.
  • Organize and put away office supplies and groceries efficiently, keeping areas well-stocked and orderly.
  • Use project management skills to complete tasks and meet deadlines.
  • Keep common areas like conference rooms, kitchens, and bathrooms stocked and tidy. Replenish supplies as needed.
  • Assist with event planning by handling tasks like picking up gifts, food, and sending calendar invitations.
  • Perform daily checks to ensure all areas are stocked, and refill supplies as necessary.
  • Run regular inventory audits to maintain accurate stock levels and ensure timely replenishment.
  • Prepare meeting spaces in advance, ensuring technology and refreshments are set up.
  • Welcome visitors, directing them to the right location with a professional and friendly approach.
  • Manage and organize documents in the company OneDrive for easy access and proper filing.
  • Help manage the company’s social media by creating content, scheduling posts, and monitoring engagement.
  • Purchase office supplies, groceries, and event materials as needed, with approval from the Executive Assistant.
  • Track and maintain inventory of promotional items like pens, notepads, coozies, and event tents, ensuring they are well-stocked for company events.
  • Prepare promotional materials for company events, ensuring they are organized and ready for distribution.
