Job Description
Job Summary:
This role provides organizational and administrative support to our Accounting Department Manager. The employee will assist with daily, weekly and monthly routine tasks related to A/P and A/R. This position will assist in purchasing as well by helping the Accounting Manager execute Purchase Orders, track open orders, interact with vendors, receive items via paperwork and schedule their payment on invoices. Below is a short list of tasks within those departments that this position is responsible for completing:
· Purchasing
§ All purchasing at direction of President
§ Shop prices or cheaper, better sources
§ Create PO’s, issue and interact with vendors
§ Sourcing new items or supplies
§ Track lead times, follow up on open orders
§ Collect packing slips from received items
§ Maintain records
· Accounting Assistance
§ Collect invoices
§ Create AP packet with invoice, packing slip etc and submit for payment
§ Assist Accounting Manager with daily / weekly routine tasks
o Accounts Receivable
§ Log checks onto check receipt log for entry
§ Prepare deposits
§ Customer statements prepare and issue to customers
§ Assist Accounting Manager with daily / weekly routine tasks
o Records and Documentation
§ Packing slips for outgoing completed orders, create and file
§ General paperwork filing and record keeping
· Compliance
o Track deadlines and intervals for permit renewals
o Track reporting requirements for local and state agencies
o Compile reports in form of daily paint log and monthly report
o Maintain records of active permits
Required Skills:
